Every October, PTA and PTO volunteers across North Jersey open the same email thread: someone needs to run the school spirit wear sale, and someone else says "I have last year's spreadsheet." Then the spreadsheet breaks. Sizes get mixed up. A check goes missing. A teacher never gets her hoodie because nobody sorted orders by classroom.
There is a simpler way to do this, and it does not involve a single paper order form or a shared Google Sheet with fourteen editors.
Skip the paper order form entirely
An online school store replaces the folder of crumpled forms and the envelope of cash and checks that someone's kitchen table has to hold for two weeks. Parents shop from their phone, pick sizes, pay online, and the order is done. No volunteer touches money. No volunteer chases down a check that bounced.
Youth and adult sizes sit in the same online store, so a family can put a youth small for one kid and an adult large for the other in a single checkout. Every order reaches us already sorted by size, which is the part of a spirit wear sale that used to eat a volunteer's weekend.

This is how we already run spirit wear for several Montclair schools, and it works the same way for any PTA or PTO in Little Falls, South Orange, Glen Ridge, or Verona. You are not building a store from scratch. You send us the design, or we help you build one, and we set up a shop page for your school.
Orders that sort themselves
The part volunteers dread most is not selling the shirts. It is delivering them. Who gets what, which teacher's homeroom, which sibling ordered two different sizes. An online store collects that information at checkout, so when the order comes back from printing, it is already organized by student and by teacher. You are handing out labeled bags, not matching a stack of shirts to a stack of names on a clipboard.

What actually sells
Across the schools we print for, two items carry most of a spirit wear sale: hoodies and tees. Tees are a straightforward, affordable option that most families order at least one of. Hoodies are the item people upgrade to, especially once the weather turns in late October and November. A few schools round out the order with a tote or a crewneck, but hoodies and tees are the backbone. Our tees are 100% cotton in the 5 to 5.4 ounce range, and our hoodies are 7.8 to 8.5 ounce fleece. We describe blanks by weight rather than brand because we buy whichever quality blank is in stock, which keeps the store moving instead of waiting on one specific label.

Timing it around back-to-school night
Back-to-school night is the natural launch point for a spirit wear store. Families are already thinking about the school year, PTA tables are set up in the hallway, and a QR code on a flyer does the work a paper sign-up sheet used to do. From there, most PTOs keep the store open for two to three weeks to give families time to order without letting momentum fade.
Once the store closes and the design is approved, production takes 7 to 10 business days from art approval and receipt of deposit or garments. That timeline covers the printing, not the blank garment itself, so if a rush is needed closer to a specific event, only the decoration and setup are affected, never the blank shirt or hoodie underneath.

7-10 business days from art approval and receipt of deposit/garments.
Screen printing has a 12-piece minimum, which most school orders clear easily once a few classrooms order in. If your group is smaller, or you want a design available without committing to a minimum, DTF transfers have no minimum at all. For a school that wants names or numbers on staff polos or spirit wear, embroidery is available with a $75 order minimum.
Screen setup runs $25 per color per print location, and that fee is waived once an order reaches 100 pieces. If your school reorders the same design next year without changes, you are not paying full setup again. It is a $10-per-screen reset fee instead, also waived at 100 pieces. DTF transfers skip the setup fee altogether, which is one reason smaller PTOs like them for a first run.
Sizing and the honest math
Extended sizes carry a modest upcharge: 2XL is $2.50 more, and 3XL and up is $4.50 more. Youth sizes run $1.00 less than adult pricing. None of this needs to be a mystery to parents at checkout, because the online store shows the real price for the real size, so nobody is guessing or rounding at a folding table.

One more thing volunteers appreciate: there is no New Jersey sales tax on printed clothing we supply, so the price a parent sees is the price they pay.
